W-2 or 1099?

Independent bookkeepers serving several clients are typically 1099 contractors filing Schedule C; bookkeepers on a company's payroll are W-2 employees. Classification depends on control over the work, not the job title.

Software and credentials

Accounting software seats, certification exams and renewals, and professional memberships are deductible business costs.

QBI deduction

The 20% qualified business income deduction is permanent. If bookkeeping is treated as an accounting service, the deduction phases out between $201,750 and $276,750 of 2026 taxable income ($403,500-$553,500 joint), so confirm with a tax professional.

Self-employment tax

If your net earnings from self-employment (92.35% of net profit) are $400 or more, you owe 15.3% self-employment tax on them; the 12.4% Social Security part stops at the $184,500 wage base, counting any W-2 wages first.

Retirement

Self-employed people can use a Solo 401(k) ($24,500 employee deferral in 2026; $72,000 total additions cap, not counting catch-ups) or a SEP IRA (employer-style contributions on up to $360,000 of compensation), plus an IRA up to $7,500 ($8,600 at 50+).

Freelance bookkeeper questions, answered

When are my 2026 estimated payments due?+

Quarterly estimated payments for 2026 income are due April 15, June 15 and September 15, 2026, and January 15, 2027. You generally need to pay if you expect to owe at least $1,000 after withholding.

Do I qualify for the minimum QBI deduction?+

Starting in 2026, if you have at least $1,000 of qualified business income from active businesses you materially participate in, your QBI deduction is at least $400.

Can I deduct health insurance?+

Usually, if you have a profit. Self-employed people can deduct medical, dental, vision and qualified long-term care premiums for themselves and family, limited to business net profit, but not for months they could join a subsidized employer plan (their own or a spouse's).

Should I pick a SEP IRA or Solo 401(k)?+

With no employees, a Solo 401(k) adds a $24,500 employee deferral on top of employer contributions; a SEP IRA has only employer-style contributions. Both cap total 2026 additions at $72,000, not counting Solo 401(k) catch-ups.
