W-2 or 1099?

Most freelance translators and many on-call interpreters are 1099 contractors paid by agencies or clients; staff interpreters at hospitals, courts or schools are W-2 employees. Some people have both, which means withholding on one and estimated tax on the other.

Driving to assignments

Driving from a business location to an interpreting assignment can be deductible at 72.5 cents per mile (Jan-Jun 2026) or 76 cents per mile (from July 1, 2026). Ordinary commuting is not deductible.

Professional costs

Translation software, dictionaries, certification and membership fees, and continuing education tied to your current work are deductible.

Mixed W-2 and 1099 income

If you also have a W-2 job, raising withholding there can cover tax on freelance income. Otherwise, 2026 quarterly estimates are due April 15, June 15 and September 15, 2026, and January 15, 2027, if you expect to owe at least $1,000 after withholding.

Retirement

Self-employed people can use a Solo 401(k) ($24,500 employee deferral in 2026; $72,000 total additions cap, not counting catch-ups) or a SEP IRA (employer-style contributions on up to $360,000 of compensation), plus an IRA up to $7,500 ($8,600 at 50+).

Translator / interpreter questions, answered

Do I owe self-employment tax on translation income?+

If your net earnings from self-employment (92.35% of net profit) are $400 or more, you owe 15.3% self-employment tax on them; the 12.4% Social Security part stops at the $184,500 wage base, counting any W-2 wages first.

I got paid from a foreign client. Is that taxable?+

Yes. US citizens and resident aliens are taxed on worldwide income, so payments from foreign clients are reported even when no 1099 is issued.

What if an agency did not send me a 1099?+

Clients only have to send a 1099-NEC for payments of $2,000 or more in 2026, and payment apps send a 1099-K only above $20,000 and 200 transactions. All income is taxable either way.

Can I have a Solo 401(k) and a 401(k) at my W-2 job?+

Yes, but the $24,500 employee deferral limit for 2026 is per person, shared across all your 401(k) and 403(b) plans. Employer contributions to your Solo 401(k) are figured separately, based on your self-employment profit.
